As the leading supplier of onshore wind and hydropower energy in Belgium, Luminus offers its customers innovative solutions in the field of energy efficiency.
Challenges
For some time Luminus had been facing the challenges of disjointed business processes, involving many manual and paper-based activities. Data was held in many different places, making it difficult to get a holistic view of the business, and to provide management with the insights needed to make decisions.
“Our goal was to consolidate our purchasing and payment processes into a single system, streamline our business and make information easy to access for both us and our customers,” explains Louise Allman, Senior Project Manager at Luminus.
The Solution
“We chose Coupa as our solution, not just because they seemed to be the best in class, but because they have a strategy of investing in the continuous improvement of the product,… To succeed in our business, you have to take a long-term view” says Louise.
Xoomworks Procurement was engaged as a trusted implementation partner. The project kicked off with a week-long requirements and design workshop, and almost immediately the COVID lockdown began. “It was a critical moment,” says Louise. “But we were confident in Xoomworks’ ability to execute the project remotely, so we decided to continue, adding a few weeks to our end date to accommodate the challenges we would encounter with no face-to-face working possible.”
Luminus implemented all the Business Spend Management components of Coupa, covering Sourcing, Digital Procurement, Invoicing, Expenses, Contract Lifecycle Management, Payments and Coupa Services Maestro to manage complex consultancy contracts. The mobile app was set up for purchase order approvals and expenses, providing an easy-to-use solution for these activities, and boosting user adoption.
“There are definitely challenges in doing a project of this size and complexity remotely. But with a dedicated and blended team of Xoomworks and Luminus experts, we were pleased to be able to go live on our planned date in October 2020.” explains Louise.
The system has met expectations in many areas and Luminus has significantly reduced manual effort. Processes that were managed over multiple systems, such as contract management, are now all in one place, providing better visibility of spend and contract.
The solution provides a firm foundation for further improvements and streamlining.
