Xoomworks is a well established IT/Management consultancy based in the heart of London. We are looking for a well-organised, engaging and conscientious individual to join our team to help run our office.

The Role: Office Support – to provide comprehensive administrative support to our London office.

Hours: 10:00 – 15:30

Your responsibilities will include but are not limited to:

  • Maintaining files and databases for HR, Legal, Accounts and ISO
  • HR Admin – send out relevant details to new starters and deal with any HR documentation such asP45/46/Visas etc.
  • Purchasing – Manage office supplies and liaise with contractors
  • IT support – liaise with external support company
  • Facility management – liaising with the landlord to ensure a presentable and fully-functional working

environment

  • Provide administrative support to the London office – supporting Staff in the office, over the phoneand via email.
  • Reception Duties – Answering the door, make teas and coffees for visitors, make sure all meetingrooms and offices are clean and tidy, receive overflow telephone calls from the main line, organisepost and couriers and meeting rooms.
  • Carry out research and other project related activities as required
  • Typing, photocopying, printing, scanning and other ad-hoc tasks as required

  • Build relationships internally and across other group companies, and externally with suppliers always being responsive and helpful
  • Show willingness to gain understanding of the business and individual departmental context
  • Complete own work under minimal supervision or guidance but have the ability to seek clarificationwhen needed
  • Use initiative when dealing with novel or difficult situations, seeking help when required
  • Be an active team player who can confidently communicate to colleagues and othersPerson Specification:
  • Good written and verbal communication skills
  • Organised and confident, having good interpersonal skills and an approachable demeanour
  • Experience working on a reception desk/admin role
  • Enjoys working in a team environment
  • Be self-motivated and have confidence in own ability
  • Ability to multi-task
